Calendar
The calendar screen is where you can maintain and keep track of appointments for the funeral home; these can be your arrangement conferences, funeral services, or any other type of appointment you'd like to enter here.
There are now two formats available, Premium and Classic. Premium allows syncing with Google Calendar and also provides management of reserved resources.
A. PREMIUM CALENDAR
How to Turn on Premium
- Select Premium as calendar format in Admin > Miscellaneous > Calendar Type
How to Sync with Google Calendar
- Turn on Premium (see above)
- Go to Admin > Integration Maintenance > Google Calendar and follow the prompts to sync with your Google Calendar account. Select both "See and change the sharing permissions of Google calendars you own." and "See, edit, share, and permanently delete all the calendars you can access using Google Calendar."
- Name your calendar, select your timezone, and click the Create Calendar button.
- You can always revoke this connection by clicking the Revoke Google Connection button.
**Important Note**
Please remember that this sync is one way and read-only, so if you make edits to your Halcyon Calendar events from Google Calendar, they will not save to your Halcyon calendar, or other subscriber’s version of the Halcyon Google calendar. However, Google Calendar will adjust accordingly if you edit an event inside of Halcyon. Make any changes to events inside of Halcyon, not in Google Calendar.
Add Subscribers to Calendar
Add subscribers to the calendar by going into Admin > Integration Maintenance > Google Calendar then selecting the employee’s information, adding their gmail account, then clicking the “Add Subscriber” button.
Once you add a subscriber, they will get an email asking them to add the calendar. Subscribers will need to finish this setup to have access to the calendar.
Views and Filters
There are several different views available for the Premium calendar: Month, Week, Day, List, and Reserved Resources. The calendar will return to the last view that was selected. This is not user-specific, so this selection carries over for all users in your organization. You can also filter your calendar by Date, Servicing Location, Gathering Location, Appointment Type, and/or Case. These filter options will jump back to their default when returning to the page.
Adding, Editing, and Deleting Appointments
You can add, edit, and delete events either inside of a case (in the Gathering section of the Services tab) or within the Calendar menu. See above Important Note about editing events inside of Halcyon only.
Recurring Events
You can set up events that recur by setting a Recurrence Pattern when editing an event. The calendar will continue the recurrence pattern until the end date you choose, so be sure to set an end date for whenever you want all recurring events to end.
Reserved Resources
One of the most helpful features of the Premium Calendar is its reserved resource management, allowing your company to more easily make arrangements with your reserved resources (hearse, limousine, microphone, etc.)
- Set up your list of reserved resources in Setup > Reserved Resources
- When creating events, you will only be able to select from the resources that are available.
Event Type Colors
You can assign colors to event types with the Premium calendar in Setup > Premium Calendar > Event Color Settings.
B. CLASSIC CALENDAR
You can choose to view this screen in either calendar or list mode.
Click the "Add Appointment" button to add a new appointment. The green plus sign button will allow you to add additional employees/roles to an appointment, and the red minus sign button will delete them.
