Administrator level users can create and maintain Price Groups on the Admin > Financial Maintenance > Price Groups screen.
You may change the order in which your price groups display by dragging and dropping them into your desired order and clicking "Update Display Order".
Specific to Trade Services, Trade Cremations, and Vet Clinic Price Groups
If using Price Groups for Trade Services, Trade Cremations, or Vet Clinics, you will create price groups unique to each partner. This allows the ability to set partner specific pricing and packages. If you have more than 10 partners, you will see the ability to scroll pages using these arrows at the top of the list
You can also use the "View an Individual Partner" dropdown to navigate to a specific partner's price group list
Additionally, if you wish to hide inactive price groups, select the toggle for "Hide Inactive Price Groups." This saves this setting in your system, so if you wish to see them in the future, you'll have to deselect the toggle.
Adding a Price Group
To add a price group, click the "Add Price Group" button and enter the name of the Price Group and any notes you would like to add for your internal use. For trade cremation price groups, select the trade partner for the price group using the dropdown menu. You may optionally clone one of your existing price groups which may speed up your price group entry. You will be able to make edits to your new price group after it has been created.
When you click the Add, or the Edit icon next to a Price Group, you will then be taken to the following page, which will allow you to set pricing.
To set up a Price Group to function as a package, enter the actual amounts for each line item you wish to include in your package and click the "Included?" checkbox. When you select this Price Group on the Purchases screen the items checked as "Included" will appear on the Purchases input screen with the word "included" rather than showing a price input field. The dollar total as well as the dollar total of the items you have marked as included will display at the top of the purchases page. Note that you will still have the ability to add additional items and/or edit the dollar values of any item not marked as included. Contracts, statements, and invoices will also display and print in this manner.
It is very important that you enter correct amounts for each included item in order for us to generate accurate sales and financial reports.
Note that you are only able to add non-inventoried merchandise to a price group. Inventoried items must be added on the Purchases screen at the time of sale.
If you want to edit the Price Group Name or Description click the blue pencil edit icon next to the Price Group Name.
If the price group has been previously assigned to a case you will be shown a warning message notifying you that changing the name will affect all prior cases.
Removing a Price Group
You may delete or inactivate a price group by clicking the red trash can delete icon next to a Price Group. If the Price Group has been selected for any client in the past it will be inactivated. Inactivating will keep your historical information but not allow the price group to be used on any existing or new cases. You may reactivate a previously inactivated price group by clicking the reactivate icon in the "Inactive Price Groups" table at the bottom of the screen.
If the price group has never been selected for a client it will be deleted. You will not be able to reactivate a deleted price group. If you need a previously deleted price group in the future you must re-add it.
Deleting Multiple Price Groups for a Partner:
If your price groups are configured for a partner, you will see a "Remove Multiple" button. This will allow you to remove multiple price groups at one time.
After you click the "Remove Selected" button you will confirm you request prior to the inactivation or deletion of your selected price groups.
Price Group Clone
If you would like to clone/copy all of the existing price groups from one Partner to another, simply click the "Clone All" button in the table header.
You will be presented with a full Partner list. Select the Partner you wish to copy the Price Groups to, and confirm you choice. This is a very quick way to add the same or very similar price groups to your trade partners. After you clone the price groups you may remove or edit them as desired.
Special Configuration Information for Trade Partners Using the Enhanced Partner Portal
If you have configured your Partner to use the Enhanced Partner Portal you can configure a Price Group to allow your partner to add optional services and merchandise when they make their service request. Simply check the "Selectable?" checkbox next to the line item. If the line is for non-inventoried merchandise item you will specify/limit the merchandise options they may select. NOTE: The Selectable limitations only apply when the Price Group is selected by one of your Partners from within their Enhanced Portal. If you select the Price Group on the Purchases screen from within the main system there will be no limitations on the line items or merchandise that may be selected.
Services or Cash Advances
The Price Group configuration for Enhanced Portal Users is best explained by example. In the screenshot above Witness Cremation is always part of the Price Group. Fur Clipping and Paw Prints have been configured to allow extended pricing. (Please contact Technical Support if you would like extended pricing on any of your line items.) One Fur Clipping is part of this Price Group. In addition, since the "Selectable?" checkbox is checked your Trade Partner will be shown the option to purchase additional fur clippings at the price you have designated. No Paw Prints are included in this price group but your partner will have the ability to purchase them at the price you have indicated.
Merchandise
You may specify specific merchandise in a Price Group and/or allow a selection from a list of products you define.
In the example above, the Acropolis-Emerald Urn is part of this Price Group. No other Urns may be purchased. This particular Price Group does not include a Casket but the Trade Partner will be able to select from the 718 Blue or 718 Coraltone or neither.
To define your product options, click the blue edit icon next to the merchandise line item. You will be presented with a list of your products. Check off the products and click "Add Selected Product(s)".
Example Price Group for use with Enhanced Partner Portal
The screen shot below shows an example of a price group configured for use in the Enhanced Partner Portal Version
The screen shot below shows how the above price group would appear in your Partners Enhanced Portal view. The list under the Price Group selector shows all the items that are part of the price group total price.
The Optional Selections area allows them to purchase additional items by checking off the item and specifying quantities where applicable.
If a Price Group has more than 10 line items marked as "Selectable" then when your partner views that price group they will make their selections via a drop down menu rather than seeing the full list of options. When an item is chosen from the drop down list a quantity of 1 will be automatically selected.
Special Configuration Information for PET Trade Partners Using the Enhanced Partner Portal
If you have assigned your partner access to the Enhanced Portal version you may limit the Price Groups your PARTNERS may select by the Pet Cremation Type. NOTE: The price group selection limitation by pet cremation type only applies when the Price Group is selected by one of your Partners from within their Enhanced Portal. If you select the Price Group on the Purchases screen from within the main system there will be no limitations on the price group you may select regardless of the pet cremation type.
The screen shot below shows the City Animal Hospice is currently configured to use the Enhanced Portal version. Therefore there is a column for "Limited to Cremation Type". Count Animal Shelter is configured to use the Basic Portal version so there is not the option to limit a price group by the pet's cremation type.
When you add a price group and you select a Trade Customer/Partner that is configured to use the Enhanced Portal you will be given the option to select a cremation type. If you select --Not limited -- this price group will be available for all cremation types.
Requiring an Urn Selection
You may wish to create price groups that require at least one urn to be selected/purchased but you do not want to pre-select the urn. In this case, set the toggle to Yes on the question: If all urn options are selectable do you want to require the purchase of an urn?". In your line item configuration for Urns you should check off the "Selectable?" check box and add the urn choices as the Product Options.
If your partner is making a request and they have selected a price group that requires an urn purchase they will be able to add and make edits to their request but they will not be able to notify you of the request until they have selected at least one urn. Your partner will see the following message if an urn is required and they have not made a selection>
Warning: You must set the toggle to "No" if you have not included an urn in the price group and/or added optional urn selections in the price group. If you were to do this your partner would never be able to notify you of their request since there is no pre-selected urn in their chosen price group and you have not given them the ability to select one.
