Tracking Checklists
With the exception of Pre-Cremation and Cremation checklists, which have additional options (shown below), tracking checklist maintenance pages all have the same layout and options:
Click “Add A Checklist Item” to add an item to the checklist. Specify whether you would like to item to be a required item in the checklist.
New checklist items will go into effect on the date that they are added to the system.
Click the trash can icon to delete, and click the edit icon to edit an existing item. If you attempt to delete a checklist item that has been completed for a client record in the past, it will be deprecated rather than deleted. You can reactivate deprecated checklist items by clicking the icon with bi-directional arrows..
You can change the order in which the checklist items are displayed by dragging and dropping the items into place. Click "Update Display Order" to save your changes.
Pre-cremation Checklist Options
1) You may require a peer review of the checklist prior to allowing cremation. This will force two different operators to verify that all the required checklist items have been completed.
2) You may enforce a mandatory hold time before a body can be moved into the Cremation/Aquamation/NOR tracking step. You may also choose to have the hold time start default to the Date and Time of Death.
If you do not set the default start to the date and time of death, when you add a case you will enter the hold start time. The hold start time will default to "now" but you will have the opportunity to change it before you enable tracking.
If you do set the mandatory hold time start to default to the date and time of death you will not see input fields for the hold time start when you enable tracking. The hold time start will be modified whenever the date and time of death are updated if the body has not yet entered the Cremation/Aquamation/NOR tracking step.
You will not be allowed to move a decedent into the Cremation/Aquamation/NOR tracking step until the hold time has expired. However there is an option on the Admin menu that will allow the hold time to be overridden.
Cremation Checklist Options
You may require the entry of a pre-heat temperature as a Cremation checklist item.
Pre-cremation Checklist Options- Pet Specific
The Pre-Cremation checklist for Pets has a couple options unique to this tracking step.
1) You may enforce a mandatory wait time before allowing Cremation. If you have this feature enabled, when you add a case you will enter the hold start time. The hold start time will default to "now" but you will have the opportunity to change it. You will not be allowed to move a decedent into the Cremation/Aquamation tracking step until the hold time has expired.
2) You can have checklist items for paw print, nose print and/or fur clipping automatically added as a pre-cremation checklist item if purchased (or Included in price group). To enable this feature, select "Yes" next to the "Create Checklist..." option(s).
If a line item that can auto-trigger a checklist has been purchased or included in a package the pre-cremation checklist will appear. If we are able to determine the exact quantity we will show the count; otherwise, we will show the message "Quantity Verification Required". The exact quantity can only be shown if all of the line item(s) that can trigger the checklist are configured to accept extended pricing (x @ $y). Halcyon Support must configure your purchasing screen line item setup which includes setting up line items to use extended pricing and also which line items will trigger the Paw Print, Nose Print and Fur Clipping checklists. Please contact us if you need modifications to your setup.
The checklists will also trigger if a line item was added "on the fly" by clicking the green add button contained the words "Paw Print", "Nose Print" or "Fur Clip". We would rather error on the side of caution and show the checklist item if its possible that an added line item requires an action by the operator prior to cremation.
This is best explained by example.
The image below shows a purchasing screen where Fur Clipping and Paw Print were configured for extended pricing and those line items have been set up by Halcyon to trigger the Fur Clipping and Paw Print checklist. This customer rarely sells nose prints so the line for Nose Print was added "on the fly" by clicking the green plus and typing in "Nose Print".
The image below shows the associated Pre-cremation checklist. We are able to show the quantities for Fur Clippings and Paw Prints since they were configured with extended pricing. The checklist for Nose Print shows "Quantity Verification Required" since its not possible to determine the exact count. The line item may have been entered as "Nose Print - Qty 5" or maybe the Notes area was used to enter the quantity. This alerts the operator to get a nose print prior to cremation but the details must be viewed on the Purchases screen.
Troubleshooting: If your checklists are not appearing as you expect first make sure your "Create Checklist..." items are set to Yes. If they are set to Yes then please contact Halcyon Technical Support to verify which of your line items are set to trigger the checklist.
