Halcyon has two methods for handling firms with multiple locations: Multi-branch or SuperAdmin.
With Multi-Branch the branch locations share a common Halcyon system/database. As cases are entered they are associated with a servicing branch. All financial reporting and forms know the branch that serviced each client and will display the correct information. If you are configured with multi-branch most reports will run once for each branch and will be listed "back to back".
Multi-branch is a very simple way to handle multi-locations. Halcyon staff has to create the additional locations and you can adjust the location information (address, etc).
Here are some things to consider when deciding if the multi-branch configuration best fits your needs:
- Users can see all branches’ clients - provided they have access to Case Management.
- Contract data entry (Client/Purchases) line items are identical for all servicing branches; however, trade line items are always different than non-trade line items. (There are ways to get around this by using packages or adding individual line items “on-the-fly”.)
- The forms visible on the Forms menu and the Client/Summary is the same for all branches.
- The reports visible on the Reports menu is the same for all branches.
- What is taxable (services, merchandise, etc) for sales taxes is the same for all branches. There can be different tax entities and different tax rates. However, what is taxable is common for all branches.
- If you are integrated with QuickBooks then that QuickBooks connection (to a QuickBooks account) and all the setups for QuickBooks are for all branches. If a company has different QuickBooks accounts for their locations then multi-branch will not interface to the separate QuickBooks accounts. SuperAdmin is needed for that.
- Each Halcyon system can only have one crematory to track. If your company needs to track cremations separately for more than one crematory than separate Halcyon systems with SuperAdmin is needed. A Halcyon system can have separate tracking for humans and pets but that can be confusing.
- Service Types, which are used to break out financial reports and for auto-generated case tasks, are created for the entire system. All branches will have those Service Types available.
- When you customize screens by setting up field visibility you are doing it for all locations.
- Financial reports will be run for every location which can affect performance and can cause confusion
With SuperAdmin each location has its own Halcyon system/database. The system that a user is connected to is determined by their login credentials. Special users are given SuperAdmin access to easily move between locations and also run reports across locations. SuperAdmin users can also see all cases for each location from a central access point. Note additional Halcyon systems/databases require additional Halcyon subscription fees.
- At this time only Halcyon support can add SuperAdmin users.
- Superadmin is intended for a corporate/satellite situation. To give every Halcyon user SuperAdmin access will not make sense.
A hybrid approach is used for complex companies. You can have several systems with SuperAdmin over them and within one or more systems you can have Multi-Branch locations configured.
