There are two ways to configure multi-location firms. One is multi-branch and the other is SuperAdmin. Please see the overview article for more information about the differences. This help article discusses the options on the SuperAdmin menu.
Currently Halcyon must create your SuperAdmin logins. Each SuperAdmin user can be granted access to all of locations or a subset of your locations.
Super Administrator Functions
Recent Cases
This screen will show you all cases modified in the last month across all of the locations your login has been granted access. Click on a case to be taken to the Case Summary screen.
Connect to a Location
This option allows you to connect to your different locations that you have been allowed access. Simply click one of your locations to be taken to your Dashboard. Once connected to a location you will see a SuperAdmin Home link at the top of the left hand menu which can navigate you back to the SuperAdmin menu.
Run Reports
This tool is a master reporting tool for all of your authorized locations. Click a location from your "Available Locations" section to move it to the "Selected Locations" section. The double arrow buttons will move all of your selections back to the other side.
Once you have selected your location(s), enter a date range and check which report(s) you'd like to run. Click "Create Reports" to create your reports for each location.
Maintain Company-Wide Forms
This tool allows Super Administrators to upload company-wide forms to appear on each of their locations' Forms Setup. Once a form has been uploaded each location will need to set its desired visibility via their Forms Maintenance options. Its important to note that this will maintain forms for ALL locations even if your SuperAdmin login has only been setup to access a subset of the total locations in the company.
Manage QuickBooks Networks
If you are configured as a QuickBooks users, this option will allow you to create a connection. See the QuickBooks help for more information.
Super Administrator User Maintenance
The following two options, designated with a *, will only appear on your menu if your login is configured as a "SuperAdmin Admin". Please contact technical support if you require "SuperAdmin Admin" access and no one in your organization has been initially granted that privilege level.
Add New SuperAdmin Login to One or More Locations*
(SuperAdmin Admins Only): This option will allow you to add a NEW SuperAdmin login that has access to one or more of your locations. You will see all of your available current locations in red under the "Available Locations" panel. Simply click each location name and drag the location name you want to allow access into the the "Selected Locations" panel. Enter the remaining information and click the Add New SuperAdmin button.
Maintain Existing SuperAdmin Access*
(SuperAdmin Admins Only): This option allows you to maintain location access for SuperAdmin users that already have a login and have been granted access to one or more locations.
First select the SuperAdmin user you wish to work with.
Once you select a user, the selection panels will appear. The locations the user currently has access to will appear under "Accessible Locations". You may drag and drop location names between the "Available but Unaccessible Locations" and the "Accessible Locations" to either grant or remove allowed access.
You can move all locations between panels at one time by clicking the double arrows above the panel.
There is also a "Filter" box that will allow you to search for and limit the locations that appear for selection. This may be helpful if you have quite a lot of locations.
If you wish to remove a SuperAdmin user, move all locations into the "Available but Unaccessible Locations" panel and click Configure Access button. You will have the opportunity to confirm your choice to remove the user before the login is actually removed.
SuperAdmin User Information
This screen will enable you to update your contact information in your Staff record on each location you have been granted access. This eliminates the need to visit each location and update your information. Note that when you save your edits the information will be copied down to EVERY LOCATION. If you need unique information for your different locations you may connect to that location then update your information via Admin > Staff Maintenance.
Change Your Password
As the title implies, this is where you can change your SuperAdmin password.
Master List Maintenance
Products
These options will allow you to maintain a master list of various data items. Currently you can maintain a master list of Product Categories, Subcategories, Suppliers and Products. The Product Download Utility makes it easy to update information in all of your locations at one time.
