QR codes for decedents (or pets) are symbolic representations of the body tracking codes. It is more precise to call them Tracking QR codes.
There are several ways to use Tracking QR codes.
You can pre-print Tracking QR codes from Halcyon onto label stickers and have these pre-printed labels available in pickup vehicles. When you add a new case in Halcyon's Case/Add screen you will have the option to "enable tracking" for that case. When you do that Halcyon will want the Tracking Code for that case. You will place a Tracking QR code label sticker with the body and then scan it into the Tracking Code that Halcyon wants.
You can print more than one label for each case. Some companies want a label sticker to be on the body's receptacle, an ankle tag and a document or two.
Some companies, instead of pre-printing these QR code labels, will print out a page of 10 when the body arrives and put that page in a file cabinet to use towards anything to be used with the body - the body receptacle, the ankle tag, personal effects, documents, etc.
Note that forms can also have the Tracking QR code automatically embedded without having to use stickers. Some of Halcyon's standard forms do this and any custom form can show the Tracking QR code.
Auto Tracking
Some companies prefer Halcyon's auto tracking. Halcyon will, with auto-tracking, automatically assign a tracking code when the case is started or when the trade partner (vet clinic) makes a request. Auto-tracking is especially helpful when companies use Halcyon's trade partner portal (vet clinic portal) because the trade partner can produce a form directly from their portal that has the Tracking QR code along with other request details. Then this form can be placed with the body for your driver to scan in and keep with the body.
Crematory ID disks
Some crematories prefer to use a stainless steel ID disk with the body. That option is still available with Halcyon. You can use that same disk number as the tracking number as long as you are not using Halcyon's auto-tracking. If you want to use Halcyon's auto-tracking and still want Halcyon to know the disk ID number then you can either use that disk ID number as the Case Number (not the tracking code) or you can use the Cremation Disk ID field that can be made available on Case/Add screen or on the Case/Services screen.
Frequently Asked Questions (FAQs):
- Can I use stainless steel disks? A: Yes you can and there are three options.
- You can assign that number to the Tracking Code when the case is started. In that case you would not use Halcyon's auto-tracking.
- Another option is to use the steel disk number for the case number (which is different that the case's tracking code). That option allows for auto-tracking and requires that case numbering be setup to be manual.
- Use the Cremation Disk ID field which can be made available on the Case/Add screen and the Case/Services screen.
- Can I print more copies of Tracking QR codes later? A: Yes. You can go to Setup/Create Decedent Tracking QR Codes at any time and print Tracking QR codes for past or future tracking codes.
- Can I change a case's tracking code? A: Yes. If you have admin access you can go to Admin / Case Maintenance / Change Case's Tracking Code and change a case's tracking code. Halcyon will always require each case to have a unique Tracking Code.
- What is suggested for Pet Crematories?
A: Most pet crematories are heavily reliant on Halcyon's Vet Clinic Portal (aka Partner Portal) to get requests from their vet clinic customers. We recommend pet crematories use auto-tracking and ask the vet clinic to run a form from the portal that has details about the pet including the Pet's Tracking QR code and place that form with the pet. The Pet Care Request (Vet Clinic Originated) form and the Vet Care Request (vial label size) are two examples. Have the vet clinic put that form with the body. Then your driver will scan in the Tracking QR code that is on the form and add the case into Halcyon. Then keep this form with the pet all the way through cremation. We suggest this method of operation because it is faster for the driver. Another benefit for this is that the vet clinic is responsible for identifying the pet and not the driver.
