You may setup default tasks that will be automatically added to a Case based on the Case Type and/or Service Type at Setup > Miscellaneous Setups > Task >Default Task Maintenance.
Depending on how you configure your default task it will be added when they are set to:
- Case Type: A case is added with the default tasks defined by Case Type.
- Service Type: A case is added with the default tasks defined by Service Type.
- Both: A case is added with the default tasks defined by both Case AND Service Type.
Note: default tasks will only be generated for cases added after the default task has been created- they will not add retroactively to prior cases.
When creating a new Default Task, you can specify the following information:
- Task Name
- Assigned To: Sets the employee the task is assigned to.
- Optional Task Label (see the documentation for Task Labels for more information)
- Assign Task Based On: Sets the parameters on if the task should be assigned by Case Type, Service Type, or Both.
- Due Date: The optional due date can be calculated based on the number of days before or after your selected date of either Date of Death, Date Services Provided or Case Date.
More Information regarding Default Tasks assigned to "Funeral Director In Charge"
You may assign a default task to the Funeral Director In Charge of the case. If you have configured Funeral Director in Charge as the task assignee, whenever the tasks are assigned to a case the currently assigned Funeral Director in charge will be assigned to that task.
Example 1 : Default Task Assigned by Case Type and Assigned to Funeral Director in Charge:
If your tasks are assigned based on Case Type and you enter a Funeral Director at the time you add the case the tasks whose default assignee is the Funeral Director in charge will be assigned to the Funeral Director selected. If you do not enter a Funeral Director when the case is added the assignee will show as Funeral Director In Charge - TBD in the Task list. If/when you select a Funeral Director on the Services page the assignee will be changed to the Funeral Director assigned to the case. The selected Funeral Director will be notified they have had tasks assigned if you have notifications enabled. (See the section below for Staff Notification of Task Assignment.)
Example 2: Default Task Assigned by Service Type and Assigned to Funeral Director in Charge:
If you have assigned a task based on Service Type similar behavior happens as explained in Example 1. If the default task is assigned to the Funeral Director in Charge it will be assigned to the selected Funeral Director when a Funeral Director has been entered for the case. Based your Field Visibility settings, you may allow the Service Type to be entered when the case is added or the Service Type may be entered at some point on the Services page.
If the Service Type is changed the tasks may also change. When a Service Type changes and Tasks based on Service Type exist you will be given the option to keep or remove any pre-existing tasks based on Service Type that have not been marked as completed. If the newly selected Service Type has default tasks assigned to Funeral Director In Charge they will be assigned to the case's Funeral Director or, if no Funeral Director has been assigned yet they will show as Funeral Director in Charge - TBD until/if a Funeral Director is added to the case. The selected Funeral Director will be notified they have had tasks assigned if you have notifications enabled. (See the section below for Staff Notification of Task Assignment.)
You can add, edit, delete, and change the display order for tasks on client screens from this page.
To change the display order of your default tasks, simply drag and drop tasks and move them to their desired location and click "Update Display Order" to save your changes.
To delete a task, click the trash can icon. To edit it, click the edit icon.
Staff Notification of Task Assignment
If you have the Premium Messaging option enabled for your location it is possible to notify staff members when they have been assigned a task or tasks, or when a previously assigned task has been modified.
Visit Admin > Miscellaneous > Notification Settings > Task Notifications to enable or disable this feature. See the help document for Task Notifications for more information.
The staff member will receive a text and/or email based on the Messaging Preferences defined for that staff member via Admin > Staff Maintenance and Security > Staff Information.
