If Premium Messaging is enabled for your system, additional features are available:
- Email or Text messages to Client Contacts and Trade Partners
- Email messages to external recipient
- Messaging Templates
- Send Staff Members Task Assignment Notifications
Sending Notes as Messages
When adding a note to a case, you may chose to send the message as an email or text as well. If you have Premium Messaging enabled, you can select a staff member, trade partner, or client contact from the "Select a Recipient" dropdown menu. You may also enter an email address of an external recipient in the box labeled "Enter Other Email Address." Without Premium Messaging, you may only select staff members. The messages will be sent via email or text based on how the contact was configured.
Messages to Client Contacts and Trade Partners
In addition to Employees; Client Contacts and Trade Partners (for trade cases) can receive messages if their "Messaging Preferences" are specified. If the preference is not blank or "neither", they will appear in the recipient dropdown list when you create or edit a Note.
Client Contacts are configured under Cases>Contacts>Edit Contact
Trade Partners are configured under Admin>Maintain Associated Facilities
Email Message to External Recipient
To send an email message to an address not listed as an Employee, Contact, or Trade Partner, simply type in the address in the "Enter Other Email Address" box.
Email Address and Replies
Outgoing emails are not sent from your email address in order to avoid security risks. Rather they come from notes@mg.halcyondcms.com. If the email is replied to the reply will go directly into the Case's notes.
Message Templates
You can use Templates for messaging. A dropdown to select the template you want will appear when you create or edit a Note. Templates can be created and edited in the Setup> Message Template Maintenance screen.
Task Notifications
You may enable Task Notifications via Admin > Task Notification Setting. If enabled, staff will receive emails and/or texts whenever they have been assigned a task, or when one of their assigned tasks have been modified. The method of notification is determined from the Messaging Preferences defined in Admin >Staff Maintenance.
